VG Immigration Services Inc. (VGIS) – Privacy Policy

1. Purpose of this Policy

VG Immigration Services Inc. (“VGIS,” “we,” “our,” or “us”) respects your privacy and is committed to protecting personal information in compliance with the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA), provincial privacy legislation, and, where applicable, the EU/UK General Data Protection Regulation (GDPR). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information when you interact with our website, booking page, chatbot, CRM portal, or any other services we provide.

2. Scope

This Policy applies to personal information we process when you:

visit vgimmigration.ca (the “Website”);
book a consultation or make a payment via our Square-powered booking page;
interact with our IRCC Helpline Chatbot hosted at vgis.ca;
upload documents through the Immiboard CRM portal; or
engage our immigration consulting services in any capacity.

3. Legal Bases for Processing

We process personal information based on: (a) consent; (b) contractual necessity; (c) legal obligations; and (d) legitimate interests such as service improvement and fraud prevention.

4. Personal Information We Collect

Depending on your interaction with us, we may collect identity and contact data, client file data, payment data (processed by Square), and technical or usage data (via cookies and analytics). We do not intentionally collect sensitive personal information unless required for immigration applications.

5. How We Use Personal Information

We use personal information to deliver immigration services, manage client relationships, process payments, ensure regulatory compliance, and—where you have expressly opted in—send marketing communications. We will not use your personal information for purposes that are materially different, unrelated, or incompatible without your consent.

6. Disclosure to Third Parties

We do not sell or rent personal information. We disclose information only to: (i) government agencies (e.g., IRCC) with your authorization; (ii) third‑party service providers (e.g., Square, Immiboard) bound by confidentiality agreements; or (iii) authorities when legally required.

7. Square-Powered Booking & Payment Page

Payments are processed by Square, a PCI‑DSS‑compliant provider. VGIS never receives or stores your full credit‑card number. Square’s privacy policy governs its handling of your payment information.

8. IRCC Helpline Chatbot – Privacy Notice

The chatbot provides general information only. It does not collect, store, or retain personal data, conversation history, or uploaded documents. Responses do not constitute legal advice. For personalized guidance, users must book a consultation with RCIC‑IRB Dimple Verma.

9. Data Security

We employ administrative, technical, and physical safeguards, including TLS 1.2+ encryption and AES‑256 data‑at‑rest encryption. Access is role‑based and protected by multi‑factor authentication.

10. International Transfers

If personal information is transferred outside Canada, we ensure comparable protection through contractual or other legally acceptable mechanisms.

11. Data Retention

Client files are stored for seven (7) years after closure or longer if required by law, after which they are securely deleted or anonymized.

12. Your Rights

Subject to legal limitations, you may request access, correction, deletion, data portability, or withdrawal of consent at any time. To exercise these rights, contact us using the details in Section 15.

13. Cookies & Analytics

We use essential cookies for site functionality and Google Analytics for anonymized usage statistics. You can disable cookies in your browser without affecting access to the booking page or chatbot.

14. Limitation of Liability

To the fullest extent permitted by law, VGIS shall not be liable for any indirect, incidental, consequential, special, or exemplary damages arising out of or in connection with this Policy or your use of our services.

15. Indemnification

You agree to indemnify and hold VGIS, its directors, officers, employees, and agents harmless from any claim, demand, or damages, including legal fees, arising out of your breach of this Policy or misuse of our services.

16. Governing Law & Jurisdiction

This Policy is governed by the laws of the Province of Ontario and applicable federal laws of Canada. You irrevocably submit to the exclusive jurisdiction of the courts located in Ontario for any dispute.

17. Changes to This Policy

We may amend this Policy from time to time. Material changes will be posted on our Website and—where required—communicated via email.

19. Severability
