IRCC Application Status Tracker 2026: How to Sign In and Understand Your Updates

IRCC’s Application Status Tracker is available for work permits, study permits, visitor visas, Express Entry and sponsorship of a spouse, partner or dependent child. IRCC says you need an acknowledgement of receipt (AOR) to use the tool and that the information in your account is updated daily (IRCC tracker guidance).

For applicants waiting for a decision, the useful question is not simply “Has anything changed?” It is “What does this update mean, and is there something I need to do?” The tracker can display your overall application status, progress through review sections, document information and next steps (IRCC status definitions).

This October 2026 guide explains who can use the tracker, how to access it, what the labels mean and how to respond without confusing a progress update with approval. The most important distinction is that a completed review section is not the same as an approved application (IRCC status definitions).

Who can use the IRCC Application Status Tracker?

IRCC currently lists the following supported application types (IRCC tracker eligibility):

Application type What IRCC lists
Work permit Work permit applications (IRCC)
Study permit Study permit applications (IRCC)
Visitor visa Temporary resident visa applications (IRCC)
Express Entry Canadian Experience Class, Federal Skilled Worker Program, Federal Skilled Trades Program and Provincial Nominee Program within Express Entry (IRCC)
Family sponsorship Sponsorship of a spouse, partner or dependent child (IRCC)

The PNP reference appears under Express Entry on IRCC’s list; it should not be read as a statement that every provincial nomination or non-Express Entry PR application is covered (IRCC supported applications). Similarly, the family sponsorship listing should not be expanded to every family-class application.

If your application is not on the supported list, IRCC directs you to its other application-status options (IRCC tracker guidance). Start with IRCC’s application-status selection page rather than trying to force an unsupported application into this tracker.

Applicants, sponsors and authorized representatives

IRCC permits access by the principal applicant, a sponsor, a representative or a designated individual acting on someone’s behalf with written consent (IRCC access rules). Being a friend or relative does not, by itself, replace the applicable authorization requirements.

Representatives and designated individuals must enter information matching what was submitted on the Use of a Representative form, IMM 5476, or the Authority to Release Personal Information to a Designated Individual form, IMM 5475 (IRCC representative guidance). For an access problem, check the filed authorization details before assuming the application has disappeared.

Before you start: the AOR requirement

The tracker landing page says that you can only use the tool once you have received an acknowledgement of receipt; if you have not received one, you need to wait (IRCC AOR requirement). IRCC’s Help Centre explains that application status updates appear after the AOR and that the AOR follows receipt and a completeness check (IRCC status guidance).

For practical preparation, have your AOR, application identifiers and the details used in your submitted application available. Follow the prompts displayed in your own account rather than entering guessed details or changing information simply to get past a registration error.

Our recommendation is to save a copy of the AOR and keep a short application reference sheet in a secure location. Do not post your application number, identity documents, passwords or authentication codes in public comments or social media groups.

How to sign in: a step-by-step guide

Open the official IRCC tracker page

Start at the official IRCC Application Status Tracker page. IRCC advises against using bookmarks to pages inside the tracker because you must sign in to view them (IRCC sign-in troubleshooting).

As a security precaution, use the official government entry point rather than a link sent by an unknown person. This also makes it easier to find current help instructions if the sign-in process changes.

Choose GCKey or an available Sign-In Partner

IRCC says you can use GCKey or a trusted partner, such as a participating bank or credit union, to create an account and check application status (IRCC sign-in options). Follow the option presented on the official page and complete the required authentication steps.

If GCKey has been revoked, IRCC says it cannot be recovered; you can choose another sign-in method or register for a new GCKey (IRCC account help). Do not assume that changing a sign-in credential changes the immigration application’s outcome.

Follow the account and application prompts

Use the details from your submitted application and keep your AOR available while completing the process. For representatives, IRCC specifically requires matching information from the authorization form that was submitted (IRCC representative account guidance).

Avoid repeatedly trying different versions of names or identifiers without checking the underlying documents. If you cannot complete setup, record the exact error message and consult the appropriate official help section.

Review the overall status and each application section

The tracker distinguishes the overall application status from the statuses of eligibility, medical examination, background verification and biometrics (IRCC tracker sections). Read both levels rather than focusing on one “Completed” label.

IRCC says the account information is updated daily (IRCC update frequency). That statement should not be interpreted as a promise that your application will advance every day.

Check “Your next steps”

IRCC tells applicants to check “Your next steps” regularly; it may request police certificates, passports, fees or biometrics (IRCC next-step guidance). A request needing action deserves more attention than repeatedly refreshing a progress label.

Our recommendation is to read the actual request carefully, record its deadline and confirm the required response method. If a representative is handling the file, coordinate the response before sending duplicate or inconsistent documents.

What each overall application status means

Overall status IRCC’s meaning Recommended response
Received IRCC received the application and is checking completeness (IRCC). Keep your submission records and monitor for instructions.
In progress IRCC is still reviewing the application; individual sections may also show progress (IRCC). Review the section details and any next-step requests.
Closed The application was approved, refused, withdrawn or abandoned; IRCC says it will contact you before closing it (IRCC). Read the actual communication to establish the outcome.

“Closed” does not automatically mean approved. IRCC explicitly includes several different outcomes under this label, so the decision communication matters more than the label alone (IRCC overall-status definitions).

For example, if you see “Closed” and cannot find the corresponding communication, our recommendation is to check the relevant account messages and coordinate with your authorized representative. Do not make travel, employment or other consequential plans based solely on that word.

Eligibility, medical, background and biometrics: section statuses explained

IRCC lists four review sections: eligibility, medical examination, background verification and biometrics (IRCC application details). Each section can display one of five labels:

Section status Meaning
Not started IRCC has not started reviewing that section (IRCC).
Waiting on you IRCC needs more information or documents from you (IRCC).
In progress IRCC is still reviewing that section (IRCC).
Completed IRCC has finished reviewing that particular section (IRCC).
Exempted You do not need to complete that section for the application (IRCC).

A medical or biometrics section marked “Completed” therefore tells you about that section, not the final result of the entire application (IRCC section-status definitions). Avoid treating a screenshot of one completed component as proof that permanent residence, a work permit or a study permit has been approved.

Likewise, “Exempted” is an official status with its own meaning; it is not the same as an incomplete section (IRCC section-status definitions). Read the label as written instead of comparing your screen with another applicant’s different circumstances.

Why can I not create an account or sign in?

The AOR or supported application requirement is not met

IRCC requires an AOR and limits the tracker to the listed application types (IRCC tracker requirements). For representatives, the Help Centre also notes that it may take time before an application is in the system and advises waiting for the AOR (IRCC representative troubleshooting).

Check these fundamentals before spending time on browser changes. A technical workaround does not make an unsupported application category eligible for the tool.

Representative information does not match

IRCC says representative and designated-person account details must match the information on the submitted IMM 5476 or IMM 5475 (IRCC representative troubleshooting). Review the actual filed form, not a newer internal record that may contain different contact details.

Our practical recommendation is to identify the mismatch precisely before deciding what needs correction. Do not submit a new application merely because access to a tracking account is unsuccessful.

Browser settings or an expired session are interfering

IRCC recommends a current supported browser, including Safari, Chrome, Firefox or Microsoft Edge, and says GCKey needs JavaScript and cookies enabled (IRCC technical help). An inactive session may expire, requiring you to sign in again (IRCC technical help).

For too many unsuccessful attempts, IRCC advises closing the browser window or tab and trying again; for temporary technical difficulties, it advises trying later (IRCC technical help). Keep the exact error wording if you need further assistance.

What to do when the tracker says “Waiting on you”

“Waiting on you” means IRCC needs additional information or documents (IRCC status definitions). Our recommended response is a structured review, not an immediate upload of whatever documents happen to be available.

  1. Read the request: Identify precisely what IRCC is asking for.
  2. Record the deadline: Use the date and instructions in the actual communication.
  3. Review the evidence: Make sure the response addresses the request and is consistent with the application.
  4. Coordinate representation: Confirm who is preparing and submitting the response.
  5. Keep proof: Retain the request, the submitted response and any submission confirmation.

If you cannot obtain a requested document in time, seek case-specific advice promptly rather than assuming that the tracker status itself changes the deadline. We recommend documenting the issue and reviewing the options against the actual request.

What the tracker can tell you, and what you should not infer

IRCC describes the tool as displaying application progress, history, document details and applicable next steps (IRCC tracker contents). Use it to stay organized and identify required action, while reading the actual communications for the meaning of a decision or request.

Our practical cautions are:

  • Do not infer approval: A completed section is not a final approval.
  • Do not predict a decision date: A progress label is not a reliable basis for a personal timeline.
  • Do not compare unlike files: Another applicant’s sequence is not a checklist your application must follow.
  • Do not ignore requests: A document deadline deserves priority over monitoring routine updates.
  • Do not treat a technical error as a refusal: Resolve the access problem and review the actual decision communications.

For related background, see our IRCC processing-times guide, noting its September 2026 publication date. Use the current official tracker and instructions for your own file rather than treating an older processing-time snapshot as a personal decision date.

How VG Immigration Services can help

VG Immigration Services can help you understand an update in the context of your application, review an IRCC document request and organize an evidence-based response. A consultation is most useful when you bring the actual communication, relevant application records and any deadline you need to meet.

We recommend a focused review of the issue rather than reading too much into a single status word. Assistance may include reviewing consistency across documents, identifying the question IRCC is asking and planning the next steps within the scope of your representation.

Book a consultation with VG Immigration Services to discuss your application or a request from IRCC. No tracker interpretation or consultation can guarantee an approval or a particular processing time.

Frequently asked questions

Can I use the IRCC tracker before receiving an AOR?

IRCC’s tracker landing page says you can only use the tool after receiving an acknowledgement of receipt and must wait if you have not received one (IRCC AOR requirement).

Does the tracker support every permanent residence application?

No. IRCC lists Express Entry and sponsorship of a spouse, partner or dependent child, alongside work permits, study permits and visitor visas; other applications may require another status-checking method (IRCC supported applications).

Does “Completed” mean my application is approved?

Not necessarily. IRCC defines “Completed” as finishing the review of a particular section, such as medical examination or biometrics, rather than automatically approving the entire application (IRCC status definitions).

What does “Closed” mean in the IRCC tracker?

IRCC says “Closed” can mean approved, refused, withdrawn or abandoned, and that it will contact you before closing the application; read the actual communication to confirm the outcome (IRCC overall-status definitions).

How often is the tracker updated, and can my representative use it?

IRCC says account information is updated daily and permits access by representatives and authorized designated individuals; representative account details must match the relevant submitted authorization form (IRCC tracker guidance; representative guidance).
